The problem

Your stock says yes.
Quality says no.

Most plants run commerce in one tool, stores in a register and quality status in a third place. The gaps between them are where audit findings and lost days come from.

• 01 · Root cause

Licence checks live in someone’s memory.

A vendor’s licence lapses on a Tuesday. Nobody notices until the PO has gone, the material has arrived and someone asks for the paperwork.

• 02 · Root cause

On the shelf is not the same as approved.

Stock counts say the material is there. Its quality status sits in a separate register, so the wrong lot reaches dispensing on a busy shift.

• 03 · The cost

You find out at the audit, or at the customer.

Unapproved material on the floor, a price rise nobody saw coming, a lot nobody can trace. Each one costs days to unwind and leaves a finding behind.

The business behind every batch

Five things your plant
stops worrying about.

From the first enquiry to the last dispatch, the commercial side and the material side of your plant run on one record.

01 / Enquiry to order

Say yes only to the order you can make.

Every enquiry starts on the customer’s full record. New products get a feasibility check before the quote, and orders confirm only on clear credit and pricing.

  • 01
    Check feasibility first.

Run a feasibility study on every new-product enquiry, and move the promising ones into an exhibit order.

  • 02
    Know the customer.

Keep credit status, regional price lists, brand books, licences, complaints and CoAs on one account.

  • 03
    Invoice from the record.

Raise e-way bills and e-invoices from the order, and send the CoA with the dispatch.

02 / A complete warehouse

Every lot has a label, a place, a status and a history.

Receive, quarantine, sample, store and issue in one flow. Labels print at every step, picks follow FIFO or FEFO, and the stores run on rosters, not reminders.

  • 01
    Receive and label.

Print GRN labels, quarantine the lot, and run the sampling test for raw and packing materials before QC releases it.

  • 02
    Pick right.

Issue by FIFO or FEFO, from released stock only. Expiry and retest dates sit beside every lot.

  • 03
    Keep the stores in order.

Design the layout, log room conditions, run upkeep and disposal on rosters, and label every material movement.

03 / Vendor qualification & OTIF

Buy only from vendors QA has approved, and prove they deliver.

Every new vendor needs QA approval before the first order. After that, they are requalified on schedule and scored on what actually arrives.

  • 01
    Qualify with QA.

Onboard vendors per material with QA approval. A PO can only go to a vendor on the approved list.

  • 02
    Requalify on schedule.

Keep licences, certifications and requalification dates on the vendor record, so nothing lapses quietly.

  • 03
    Measure OTIF on receipt.

Score on-time, in-full delivery from real GRNs, alongside rejections and vendor compliance.

04 / Price trends & lead times

See the price rise and the delay before they reach the floor.

Every PO and receipt builds a price and lead time history per material and per vendor, shown next to the stock you already hold.

  • 01
    Track price per material.

Follow price trends and purchase price variance across vendors and periods.

  • 02
    Know the real lead time.

Measure lead time from PO to receipt, not the one on the quotation.

  • 03
    Buy at the right moment.

See price, lead time and stock on hand together, and set reorder points from real numbers.

05 / Lot genealogy

Trace any lot, both ways, in one view.

Every lot keeps its supplier, receipt, labels, quality decisions, movements, issues and dispatches. The trace map shows the whole path at once.

  • 01
    Trace backward.

Go from a customer dispatch to the supplier lots and receipts behind it.

  • 02
    Trace forward.

Go from a supplier lot to every issue, transfer and customer it reached.

  • 03
    Go deeper with MES.

With MES connected, genealogy follows the lot through every batch, stage and intermediate.

Moments that matter

The days your ERP
earns its keep.

Five situations every plant meets. Here is what happens in Factro.

01

A customer asks for a product you’ve never made.

The enquiry opens a feasibility study on the customer’s record. If it needs a trial, it becomes an exhibit order, and sales quotes on evidence instead of a guess.

02

A key raw material costs 12% more this quarter.

The price trend shows it beside the PO history, with lead times, OTIF and stock on hand. Purchase has a position before the next quotation, not after.

03

A truck arrives at 6 pm.

The GRN prints its labels and puts the lot in quarantine. Sampling labels go out for QC. Stores can see the lot, but nobody can issue it until QC releases it.

04

A lot passes QC with four months of shelf life left.

FEFO puts it at the front of the next pick, ahead of lots that arrived earlier but expire later. Nothing reaches its expiry date on the shelf.

05

A supplier flags a problem with one of their lots.

Open the trace map. Every receipt, transfer, issue and dispatch it touched is on one screen, along with which customers received it.

Who it is for

Built for the people who
keep material and money moving.

Each role opens Factro on its own screen, with the evidence it needs to act.

Before you start

Questions
plants ask us.

Start with the operation you have. Agree the controls and connections you need.

Talk to our team

Does ERP work without MES and QMS?

Yes. ERP runs sales, purchase, inventory and warehouse on its own, with its own controls. When MES or QMS join, they share its database: genealogy extends through every batch, and a QC hold reaches stores the moment it is recorded.

Can sales promise stock that is still in QC?

No. Available-to-promise counts released stock only. Quarantined and rejected lots stay visible to stores and QC, but sales cannot commit them.

How does ERP stop a purchase from an unqualified vendor?

Each material has its own approved vendor list, qualified with QA. When the control is on, a PO to a vendor who is not on the list, or whose licence has lapsed, is refused. An exception needs an approval, and both the refusal and the approval are kept in the audit trail.

Does ERP handle licences, potency and segregated storage?

Yes, through your industry pack. Licence checks, potency-adjusted dispensing and segregated storage switch on with the pack your plant runs, while the core ERP stays the same for every industry.

How far can we trace a lot?

Both ways, from supplier lot to customer dispatch and back, through every receipt, transfer and issue. With MES connected, the trace also follows the lot through each batch, stage and intermediate, so a recall question is answered in one search.

Do we still need Tally or our current accounting system?

Yes, for the statutory ledger. Factro sends it invoices, vendor bills, payments, and credit and debit notes, as Tally XML or CSV mapped to your ledger names. E-invoices and e-way bills are raised from the order once your GST credentials are set up during onboarding.

Can we bring our item, vendor and customer masters?

Yes. We import them from spreadsheets or your current system during onboarding, and your team reviews and approves them before anything goes live.
